Rec Dept Minutes – May 21, 2007

Recreation Committee Minutes
                                        May 21, 2007

Present: Noah Eckhouse, Jane Tatlock, Susie Collins (minutes), Cathy Long, Ted Julian, Stacey Mulroy and Dan Pereira

Minutes: Minutes from 3/19/07 were reviewed and accepted.

Committee Calendar:  Dan added “pool age requirements” discussion to the Feb. items.

Programming Update:
Celebrations Programming: Jonathan unable to make meeting but reports to Dan that the Memorial Day events are ready. Things are progressing with July 4th events. We have a gift from the Deaconess for advertising. Our theme is Flags and Fifes celebrating Lincoln’s new flag and the Minuteman’s anniversary. Chrissy Long is working on publicity and volunteers. We have some LS students also volunteering their time to the July 4th events. Noah reports that we have 3 performers lined up for our summer concert series.
Summer programming: Camp directors pretty well lined up. We’re still looking for a Health Aid. Otherwise the camp still needs quite a lot of counselors. We’ve had a large turn-over with a new camp director. Pool staff is also looking for lots of new people. Stacey is placing ads everywhere she can think of to get more applicants. Response has been slow.

Youth Soccer: Two guests joined us, Ty Dickenson and Harold Engstrom. They came to discuss field availability if they received an OK to start a club soccer team from Lincoln.

Skate Park: JoEllen Altschaefl joined us to discuss installing a skate park. She and her group would raise all money required. She wanted to discuss location and any tips we had having looked into skate parks before.

Finances:  Finance Aid requests continue to climb. In the past we’ve funded two weeks of camp per child per request and offered a payment plan after that. This year we’ll continue that and offer one week to late requests. That amount comes to $8,110. Campership gifts amount to little. Again we discussed how we should fund the ever increasing finance aid requests. The General Fund is lagging far below what is has been in the past. Both camp and pool registrations are slow. Hopefully next month things will pick up but this is the trend. Total cost recovery is no longer an option. We looked at our gift account and voted to use money still in the Codman Trust Gift Account to upkeep at the pool. Ted reported on research he has conducted on on-line registration companies. There are many options with services ranging from $2000 to $5000 per year. It all depends on what we are looking for. Right now we’ll go with simply on-line registration and try to get this going for the fall cycle. Ted will narrow down venders available and have the best candidates in to present their services to us for the next meeting.

Capital Planning: Dan pointed out that with the Tot Lot completed, we do not have an updated five year plan. We should update the plan with a new field and a community center. Dan will review our “list of 12” wish list and circulate it by e-mail.

Facilities: Dan updated the committee on the Open Space & Recreation Plan. There are just a few changes to the document. Lands of Recreation Interest should not have an adverse impact on neighbors, might have previously been used for recreation and ought to have cellular service and bathroom facilities. Dan suggested we should have an athlete field sub-committee made up of rec. members and other interested group members to look for potential sites for a new field. Court updates; The lights have been fixed and the irrigation system needs some repair. Currently we’re on a 2 cycle watering schedule because there’s no unused time during the day to add a third. The gates are scheduled to be rehung. Playground Update; The opening for the tot lot went wonderfully. Lots of families attended as well as John Koenig from CPA and we received lots of good press. A success all around. The Byrnes brothers have been hired to do upkeep at all the playgrounds. Pool Update; The custodians are painting the pool, doing touch up. Pure Aqua will come and turn on the pump and balance the water. Our carpenter is lined up to do small maintenance jobs. Meanwhile there is nothing new to report on the Pods.

Next Meeting: 6/18/07
