Recreation Committee Minutes
March 24, 2008
Attendance: Susie Collins, Noah Eckhouse, Chris Fasciano (Minutes), Ted Julian, Ingrid Neri, Dan Pereira, Stacey Mulroy
Minutes: Minutes from the February meeting were reviewed and accepted.
Programming Update:
· Celebrations: Discussed the fact that 4th of July is a Rec Committee event and we need to be prepared to backstop the events. No major changes from last year’s schedule but two incremental responsibilities are possible- a concert before the fireworks and Rec taking over the buying and selling of ice cream. The committee felt that these incremental responsibilities could be handled. Summer Concert series is coming together. Patriots Day events brochure is going to the printer.
· Peak Software Update: The database is currently being loaded. The school needs to open a port which will allow the Rec Dept. site to be configured and will allow for online registrations. Dan will get a project plan from Peak that will allow for a timeline to be put in place that will result in live registrations for the fall.
· Summer Camp: Dan and Stacey are meeting on 3/25 with the head of the team. Staff hiring is coming along. Minimum wage is being bumped up from $7.50 to $8.00 which will trickle up through the staff. The brochure is out and registrations are coming in.
Special Projects: Noah suggested that the committee look at two special projects as part of it planning process. Chris will look into bathroom solutions for fields and tennis courts. Ingrid will look into an automatic pool sweeping robot.
Finances: Town numbers for General Fund update were not yet available. Revolving funds will begin to see revenue inflows beginning in March and continuing over the next couple of months.
Facilities Update: The contract has been signed for maintenance for the athletic fields. Four boards have been ordered to use as “fields closed” signs to keep people off until the fields are officially opened. Target date for opening is mid-April. The tennis courts are in year 2 of a two year maintenance contract. A focus this year will be on weed maintenance. Target date for opening the tennis courts is April vacation. $4,500 will be spent on Tot lot maintenance.
Policies and Procedure Discussion: Dan and Noah reviewed the athletic field usage meeting that took place on February 27th. A per person per season usage fee beginning in the fall was agreed to in concept at that meeting. Users are supportive but want to know what their incremental dollars will be spent on.
Other Issues: Dan is still working on a party for Cathy Long.
